Converting Notes

Notes provide a quick method for jotting down thoughts, things to do later, messages for colleagues, conversations with clients, and so forth. Information stored in a note might actually be needed in a different kind of record. To facilitate this natural workflow and avoid any need for retyping, you can convert a note into a phone call, phone message, email, to do, appointment, time entry or library page.

To convert a note into another record type:

  1. Select a note in the Unassociated Notes view by simply clicking on it.
  2. Select a record type in the Convert This Note list box in the control panel at the left.
  3. Click Convert.
  4. The appropriate details dialog for the new record type appears with much of the information already filled in, including the note text and any file and people association.
  5. Fill in any additional details in the new record dialog, and then click OK.

Alternately, you can also:

  1. Double-click a note (associated or unassociated) in a notes list.
    • The list may be either in the notes module or in a notes view of a file detail.
  2. The note details dialog appears. If you wish, edit the text of the note and/or select the file/people/event/library page with which you want the new record to be associated.
  3. Select what type of record you would like to convert the note to by picking it in the drop-down list to the right of the Convert button.
  4. Click Convert
  5. The note details dialog closes, the note is deleted and the appropriate details dialog for the new record type appears with much of the information already filled in, including the note text and any file and people association.
  6. Fill in any additional details in the new record dialog, and then click OK.

TIP: An email created from conversion of a note does not automatically contain the text of the note. If desired, copy that text from the note before conversion, and paste it into the body of the new e-mail.
