The Indispensable Notes Module

Notes provide a quick and convenient method of jotting down thoughts, things to do later, messages for colleagues, conversations with clients, and so on. Notes can also be converted into a Phone Call, Phone Message, To Do, Appointment, or Time Entry without having to retype a thing.

Your Notes that are not associated with a File are listed in your Notes module. Other users cannot see these Notes. If you associate a Note with a File, it will no longer be displayed in your Notes module. Instead it can be viewed and edited from the Notes pages on that File. A File may have many, many Notes attached to it.

If you send a Note in the form of a Sticky to another Team Member, it will appear on their screen. It will appear instantly if they are running Amicus Attorney; otherwise it will appear the next time they open Amicus.

Notes Module

To create a Note:

  1. Click the Notes button in the Office window or Toolbar. Or, open the Amicus menu and choose Notes. The Notes list appears.
  2. Type your text in the New Note box above the list of earlier, saved Notes.
  3. Click OK to save the Note.

You can also create a Note by:

  1. Choose New > Note from the File menu in any module, or click New on a Notes page in a File detail. The Note Details dialog appears.
  2. Type the text of the Note.
  3. If you wish, select appropriate options to send the Note as a Sticky to other Team Members and/or associate it with a File. Alternatively, you may convert the Note to another type of record. Click OK
Note Details

To edit a Note:

  1. Double-click a Note in a Notes list. (The list may be either in the Notes module or in a Notes page of a File detail.) The Note Details dialog appears.
  2. Edit the text of the Note.
  3. Click OK.

To delete a Note:

Right-click the Note in a Notes list and choose Delete from the list that appears.
(The list may be either in the Notes module or in a Notes page of a File detail.)

To associate the Note with a File:

  1. Double-click a Note in a Notes list. (The list may be either in the Notes module or in a Notes page of a File detail.) The Note Details dialog appears.
  2. Select a File.
  3. Click OK.

Note Details

The Note will disappear from the list in your Notes module, and will appear on the Notes > My Notes or All File Notes pages of the File detail.

Note: Alternatively, to associate one or more Notes with a File, you may simply select the Notes in the Notes module list, choose Associate With File on the NOTES menu, and then select the File.

Converting Your Notes to Another Type of Record:
Information quickly scribbled in a Note might actually be needed in a different kind of record. A Note can be converted into a Phone Call, Phone Message, To Do, Appointment, or Time Entry without the need to retype a thing.

To convert a Note to another type of record:

  1. Double-click a Note in a Notes list. (The list may be either in the Notes module or in a Notes page of a File detail.) The Note Details dialog appears.
  2. If you wish, edit the text of the Note and/or select a File with which you want the new record to be associated.
  3. Select a type of record in the drop-down list box at the right of the Convert button.
  4. Click Convert. The Note Details dialog closes, the Note is deleted, and the appropriate Details dialog for the new record type appears with much of the information already filled in, including the Note text and any File association.
  5. Fill in any additional details in the new record dialog, and then click OK.

Note: Instead of opening the Note Details dialog, you may simply select a Note in the Notes module list and then, from the NOTES menu, choose Convert To and a record type.

Notes on a File:
A File may have many Note records associated with it.

To see a list of Notes on a File:

  1. Display the desired File detail.
  2. Choose Notes from the drop-down list at the right. A submenu lets you choose between My Notes (your own Notes on the File) and All File Notes (all Notes on the File by the Team Members assigned to the File).

Viewing the Details of a Note

  1. Double-click the Note. Or, right-click the Note and choose Open from the list that appears. The Note Details dialog appears.
  2. You may edit the text of the Note, send it in the form of a Sticky to other Firm Members, change the File association, or convert it to another type of record.

Sticky Notes:
Notes provide a convenient way to jog down and store information, associate it with a File, or send it in the form of a Sticky to other Team Members.

To send a Note as a Sticky to other Team Members:

  1. Open a new or existing Note in a Notes list. (The list may be either in the Notes module or in a Notes page of a File detail.) The Note Details dialog appears. Tip: You can create a new blank Note by choosing New > Note on the File menu in any module.
  2. Select the Send checkbox and select one or more Team Members.
  3. Click OK.

The Note will appear in a little dialog on the recipients' screens, in front of other programs. It will appear almost instantly if they are running Amicus Attorney; otherwise it will appear the next time they run Amicus. An unassociated Note sent as a Sticky will disappear from your Unassociated Notes list and appear in the recipients' Unassociated Notes list.

Note: If you send a Note to more than one Team Member, a separate Note is delivered to each of them.

  • If you send an unassociated Note to three Team Members, each of them gets a Sticky on their screen and the Note is listed in their Notes module.
  • If you send a Note that is associated with a File to three Team Members, each of them gets a Sticky on their screen and three Notes appear in the All File Notes list for the File.

Note: If you are working in another Team Member's Office, and someone has sent that Team Member a Sticky, it will not appear onscreen. You will see only the Stickies sent to you.
