New Client and Matter ID Preferences

A new feature in the latest release of Amicus Accounting provides more flexible Client and Matter IDs with extended field lengths, support for alphanumeric formatting for manual entry, and numeric auto-numbering as an optional setting. Support for this feature has been extended to the integration with Amicus Attorney, allowing users to optionally maintain their existing IDs when they initialize the Integration, and to manually enter Client and Matter IDs for new Files.

If the Client Matter ID auto-numbering option is turned off in Amicus Accounting, Integration pre-initialization checks will test Amicus Attorney Files to ensure that the Client and Matter ID are present, not too long, not duplicates of those on another File, etc. An interactive report dialog allows for easy access to these Files.

If Accounting is set for automatic Client Matter numbering:

  • Each Amicus Accounting Client Matter has a unique Client Matter ID ("File ID") that identifies the Client Matter. In Amicus Attorney, each File has a Client ID and Matter ID that will be automatically assigned from Amicus Accounting upon initialization/exchange.
  • Amicus Accounting assigns IDs automatically. The Client Matter ID is composed of a unique Client ID (up to 15 digits) followed by a Matter ID (up to 10 digits, typically 3 digits: 001, 002,. etc.)

For example, if the last Client ID assigned in your client database was 2587, the Next Client Number shown in Firm Settings will be 2588. When you create a new client, Amicus Accounting will automatically assign 2588 as the Client ID. The first matter for that client will be automatically assigned the Matter ID of 001. The Client Matter ID will be 2587/001. If you want to add another matter to this client, use the Create New Matter function and choose client 2587 - the Client Matter ID 2587/002 will be automatically assigned.

You may change the Next Client Number in Firm Settings at any time. For example, you might include the year as part of the number and change it each January 1st - e.g. 20060001, 2007000, etc.

The Matter ID number is usually 3 digits (001, 002, etc.), but if you add more than 999 matters to a client, the number will grow to 4 digits (1000, 1001, etc.).

  • During initialization of the Integration, any Client and Matter IDs previously stored in Amicus Attorney Files will be cleared, and new IDs will be assigned from Amicus Accounting. For audit trail purposes, these former IDs will be stored in the Other field of the Amicus Attorney File's Admin - Accounting view.

If Accounting is NOT set for automatic Client Matter numbering:

  • Each Amicus Accounting Client Matter and Amicus Attorney File has a unique Client ID and Matter ID that identifies the Client Matter.
  • Users will enter the IDs. The Client Matter ID is composed of a unique Client ID (up to 15 characters) followed by a Matter ID (up to 10 characters).
  • During initialization of the Integration, any Client and Matter IDs previously stored in Amicus Attorney Files will be kept as is.
